Overview

We are excited to announce that we have begun the migration process for our customers to switch from 1-on-1s (classic) to 1-on-1s (new). This guide covers all the important information you need to know about this transition.

πŸ—“οΈ Migration Schedule

The migration from 1-on-1s (classic) to 1-on-1s (new) will be done in three cohorts according to the schedule below:

  • Small Medium Business (SMB): June 12-21, 2024

  • Mid Market (MM) & Enterprise (ENT): July 8-19, 2024

  • Large Enterprise (LENT): July 22 - August 2, 2024


πŸ› οΈ Migration Process

During the migration, your account will enter "maintenance mode" to transition to the new 1-on-1 experience. Here are a few things to note:

During maintenance mode, a graphic will take over your existing 1-on-1 pages to prevent any changes and avoid data loss.

Any existing conversations in 1-on-1s (classic) will be created in the new experience, ensuring all historical content is transferred seamlessly.

Once the migration is complete, your account will be fully active in the new experience.

If we encounter any issues during the migration, your account will revert to the old 1-on-1s (classic) experience. We'll resolve the issue and retry the migration until it's successful. This process should be completed in less than 15 minutes.

⚠️ Note: Unfortunately, once the migration to the new 1-on-1s has occurred, we cannot revert to the classic version. We apologize for any inconvenience this may cause.


What is Changing with the New 1-on-1 Experience?

1-on-1s (new) are now topic-driven rather than date-driven. This new approach reflects how we naturally think about our 1-on-1 conversations, focusing on the topics we need to discuss rather than specific dates.

Key Benefits:

Simplified Topic Addition

No need to find the right date; topics are added directly to your list and can be reordered to focus the meeting.

1-on-1's (new) edit topic

Flexible Meetings

Easily initiate ad-hoc meetings without losing track of important topics. Any unchecked topics will carry over to the next conversation.

1-on-1s (new) topics

Threaded Notes

Keep all context and details under each topic, aiding in preparation and documentation of agreed actions.

Calendar Integration no longer needed

Use the Copy link feature to easily add 1-on-1 links to calendar invites, without needing calendar integration. A simpler and more effective solution.

πŸ“Œ Note: Although calendar integration isn't a feature of 1-on-1 conversations (new), existing calendar events from 1-on-1 conversations (classic) with links will still navigate to the correct conversation in the new experience.


Addressing Common Issues

  • βœ”οΈ Manager and Employee Initiation: Both parties can now initiate a 1-on-1, promoting more frequent and meaningful conversations.

  • βœ”οΈ Continuous Availability: Topics and check-in questions can be added or completed anytime, without waiting for the next scheduled meeting.

  • βœ”οΈ Smarter Notifications: Notifications are sent when content is added, ensuring both parties stay informed and prepared.

No longer needed. Instead, you can use the copy link feature to easily access the 1-on-1 URL. The link can be added to invites through any email or calendar tool and pinned in work tools like Slack or MS Teams.

Conversation Focus

Date-based: topics are listed by date (e.g., May 2, May 9)

Topic-driven: one running list of topics to discuss, checked off as discussed. Topics can be reordered to ensure the conversation is focused on the highest priority items and anything incomplete will remain until actioned.

Topics are added directly to the running list without needing to find the right date. Any topics that haven't been checked off, carry over to the next conversation.

1-on-1's (classic) connect to calendar

Conversations are continuous. This is easier to manage as topics persist regardless of meeting changes or ad-hoc conversations.

Notes and Context

Limited note-taking options.

Notes are threaded under each topic, providing context and a record of discussions.

Manager Assignment

Classic

New

  • Relies on the "Manager Email" demographic mapped on the Performance & 1-on-1 configuration page.

☝️The configuration page is only visible to Culture Amp Support (not customers).

  • If no validated hierarchy, it uses your mapped "Manager Email" demographic on the Performance & 1-on-1 configuration page as a fallback.

Admin Reporting

Classic

New

  • The report is clickable on the 1-on-1s landing page through the Participation button

  • Filters by past 30, 90 days, 6, or 12 months

  • Counts activity on conversations (e.g., agenda items, ratings, open-text questions) and groups participation numbers by user.

  • Calculates average 1-on-1s per person in the department within the selected timeframe.

  • The report is accessible via a separate tab under the 1-on-1s page drop down.

  • Filters by past 7, 14, 30, 90 days or 12 months.

  • Counts activity (e.g., topic added or updated) on conversations and groups by manager. Actions by either the individual contributor or the manager count toward the total.

  • Table format organizes departments alphabetically with clear usage metrics

In the next few months, we're enhancing the 1-on-1s (new) experience with more features. Here's what's coming soon:

  • 1-on-1s Activity on Culture Amp Homepage: Helping managers and direct reports prepare for upcoming conversations.

  • Nudges for Inactive Conversations: We'll introduce nudges to remind participants to engage in ongoing conversations.

  • 1-on-1s Participation Report: Admins can expect a breakdown of the 1-on-1s participation report by manager within each department, offering more transparency.
