As part of the survey launch process, you can customize messages sent from Culture Amp to your organization.

What can be customized?
All email and slack messages can be customized, except Reporting Rules, which are non-editable. Reporting Rules is the statement provided to participants describing how survey results will be displayed in reports.
To customize your survey communications, head to the Communications page in the survey configuration.
Email messages
- Survey Invitation: the first email sent to participants to complete the survey
- First Reminder: The first reminder to participants yet to complete the survey. This is also used for any repeat reminders.
- Final Reminder: The final reminder to all participants who are yet to complete the survey
- Welcome Screen: Displays instructions and a message, and allows changing language
Slack messages
- Survey Invitation: the first message sent to participants to complete the survey
- First Reminder: The first reminder to participants yet to complete the survey. This is also used for any repeat reminders.
- Final Reminder: The final reminder to all participants who are yet to complete the survey
- Welcome Screen: Displays instructions and a message, and allows changing language
Edit email communications
- Within the survey you are configuring, go to Survey Launch > Communications
- Select the email communication you would like to customize, choosing from Survey Invitation, First Reminder, Final Reminder, and Welcome Screen.
- You will now see our default message for your chosen communication. You can use this as it is or customize it. Select the Edit email button to customize the message.
- Edit the Subject and Message fields with text, variables, or links, then click Save changes.
- Return Back to preview to see your saved updates in preview form
Insert variables
We offer variables in the survey communications designer so you can further personalize your emails. Insert any of the following variables into your email messages in the Subject or Message fields:
- Respond by
- Respond by time
- Respond by timezone
- Account name
- Recipient name
- Recipient preferred name
- Survey name
- Support contact
- Support email
NOTE: The variable Recipient preferred name is populated by the Preferred Name demographic by default in engagement surveys. If you choose not to upload Preferred Name for your employees, you can insert the Recipient name variable instead.
Add links
You can add links to any of the text or variables in the Message field.
- Select the text you would like to link
- Click the link icon in the email editor
- Add the URL, then click Save changes
Preview and test email communications
It’s easier than ever to preview your communications before the survey launch.
- Within the survey you are configuring, go to Survey Launch > Communications
- Select the email communication you would like to preview, choosing from Survey Invitation, First Reminder, Final Reminder, and Welcome Screen.
- This opens up the preview screen, from here you can edit your message by selecting Edit email or send a test email message
- To send a test email message, select the Send test button
- Choose an admin from the recipient list dropdown and click Send test email
Edit Slack communications
- Within the survey you are configuring, go to Survey Launch > Communications
- Select the email communication you would like to preview, choosing from Survey Invitation, First Reminder, and Final Reminder
- Edit the Message field by adding in plain text or format the message with Slack’s custom formatting language
- Select Update communication to save your changes
Tips for designing your survey communications
- Keep the message short
- Bold key details like deadlines
- Use variables to personalize the content message for each recipient
- Avoid adding too many links to your email, since the ultimate goal is to get folks to take the survey
- Make sure not to include "%" for anything other than the commands, such as "%{respond_by}". If you want to call out a specific percentage in your message like "Last year our participation rate was over 70%, thank you", be sure to use the word "percent" and not the symbol. Using the symbol outside of a command will cause your Slack communications to fail.
- Consider inserting the support contact variable in the last sentence of the communications email
- Edit the email sender name to personalize what employees first see when they receive survey email communications
- Consider when you'd like to launch the survey and how soon after the launch to send first and final reminders
