Editing questions in a live performance cycle can impact the quality and consistency of responses. While we do not recommend making changes after a cycle has launched, we understand that there may be situations where edits are necessary, such as correcting a spelling error.
Key considerations
Changes to question text (other than spelling) may alter the meaning, making responses inconsistent and potentially unusable.
You cannot add or delete questions, rating scales, or single select options once any part of the cycle is live, including units which are scheduled for later.
Managers and employees will not be notified of any changes made to questions during a live cycle.
Multilingual Considerations: If you have set up different cycles that support multiple languages, ensure consistency in translations.
Impact Warning: When you click to edit, a warning box will appear at the top of the page, reiterating the potential impacts on existing responses.
No Versioning: Take note that any changes you make will overwrite the existing text, and there is no version control in place for previous question versions.
Common scenarios and recommendations
Scenario | Impact | Recommended approach |
There is a spelling or grammatical error in a question | None | Update the question. |
I’d like to update a question to clarify what it means. | Minor | Update the question but ensure the edits only clarify the meaning and don’t change the intent. |
I need to add or delete a question | Not possible | You cannot add or delete questions once any part of the cycle is live. |
I want to add or delete rating scale or single select options | Not possible | Existing rating or select options cannot be deleted or new options be added once any part of the cycle is live. |
I want to update the existing rating scale or single select option | Major | We do not recommend changes that alter meaning, as responses may no longer align with the revised options. |
I’d like to stop asking a question | Not possible | You cannot remove a question from the cycle, but you can disregard responses in reporting. |
I'd like to make a question mandatory | Not possible | You cannot make a question required/mandatory once the cycle goes live. |
I want to change which question is designated as the Performance Rating question (e.g. switch from Q7 to Q8) in a live cycle | Not possible | The Performance Rating question has a different underlying structure from a standard rating question, so its designation cannot be reassigned to a different question once the cycle has launched. Workarounds: add the intended question to the Calibration view so calibrators can see it directly, or once the cycle closes, use the Historical Performance Uploads to recreate the cycle with the correct question set as the designated Performance Rating question. |
