Managing Deactivated Participants in Performance Review Cycles

Manage deactivated and reactivated participants in Performance Review cycles. Learn how to effectively handle these changes.

Managing participants in live Performance Review cycles can be challenging, especially when participants become inactive mid-cycle. This guide will help you handle deactivated and reactivated participants effectively.

Deactivated Participants


When participants are made inactive, they are not automatically removed from the performance cycle, regardless of the Manager Review status (complete/incomplete). They will still persist in the cycle with the following conditions:

  • Manager assignment removed: Managers can no longer see them in their view.

  • Deactivated icon: Shown next to their name.

  • Cycle view: They appear in the user list search but not in the participants list.

  • Filter drop-downs: Their departments/job titles will appear in the filter drop-downs in cycle view, not in the participants list view.

  • Hero stats: They are shown in the hero stats.

  • CSV export: They are included in the CSV export.

  • Participants list: Listed as “Deactivated” in the “Employee status” drop-down in the participants list.

Note: Although there is an option to add participants to a cycle while they are inactive, they won’t be visible in the cycle. A user must be active at the time of being added as a participant to show within the Peer and upward feedback or Manager review sections of a live cycle.

Peer & Upward Feedback Tab


Inactive users don’t appear in the Peer & upward feedback tab user search like they do in the Manager review tab. However, they do still appear in the user list view by scrolling through, as long as they have been a feedback reviewer or reviewee in the cycle at least once.

How to Remove Deactivated Participants from a Live Performance Review Cycle


With a recent update, there is now an Employee Status drop-down in the participant selection page for self-reflections and performance review cycles. This feature allows Admins to un-check inactive participants without needing to reactivate their profiles first.

To remove an inactive participant from a live Performance Review cycle:

  1. From the Performance page, click the drop-down arrow beside the live cycle.

  2. Select Edit employees.

  3. On the Participants page, use the Employee status drop-down menu and select Deactivated.

  4. Untick the participant.

  5. Save your changes.

Reactivated Participants


When an inactive user is reactivated, they will reappear as a participant in the live cycle if they were previously included and hadn’t been manually removed.

By following these steps, you can efficiently manage your Performance Review cycles and ensure all participants are correctly accounted for, whether they are active, inactive, or reactivated.
