Overview
If you are an Administrator of your organization’s People Analytics account, you can invite new team members, assign roles to define their account permissions, and fine-tune each member's access levels individually.
User roles and permissions
There are three roles you can assign to new members: Admin, HR, and Manager.
Admin | HR | Manager |
Unrestricted account access (including Permission management) | Like HR, but no access to Insights or Data Health. |
Breakdown of default features per role:
| Admin | HR | Manager |
View Stories and Chapters | ✅ | ✅ (excluding Rewards) | ✅ (excluding Rewards) |
Insights | ✅ | ✅ | ❌ |
Data Health | ✅ | ✅ | ❌ |
Connect external data sources | ✅ | ❌ | ❌ |
Permission management | ✅ | ❌ | ❌ |
Account management* | ✅ | ❌ | ❌ |
*Account management permissions include the ability to irreversibly delete organization’s People Analytics account and all associated data.
Edit permissions from the “My profile” page
Everything related to access permissions is handled from the My profile page.
To access the page, click your name to open the drop-down menu, then go to My profile.
Invite new users
From the My Profile page, scroll down to the Team members pane
Click Invite team member
3. In the resulting dialogue, start typing the name of the person you want to invite, then find them in the drop-down menu. We know them from your HRIS system.
If you are looking to invite someone who is not in your HRIS system, go to the “Outside the organization” tab and invite them via email address.
4. Choose the role you want to assign to the new user: Admin, HR, or Manager.
⚠️ Warning: Granting Admin privileges allows that user to delete the People Analytics account and permanently remove all organizational data.
5. Fine-tune the feature.
Depending on the role, default features will be selected.
Keep in mind — some of the features can’t be turned on for a specific role (like the Rewards Chapter for Managers in example) or turned off (like user management for Admins).
6. Set data access scope
Edit this setting if: Your new team member only needs to access a subset of employee data.
The data access scope affects: Everything — Metrics and Data Health. Anything your new team member will be able to see or do on the platform will be adjusted to match the restrictions defined here.
To configure a subset: Select one or more groups from the available categories (categories depend on the setup in your HRIS, and typically include departments, teams or locations)
7. Click Invite
The new user will receive their invitation in their email inbox.
Edit user roles
Even after the user accepts the invitation to access your People Analytics account, you will be able to modify their permission level.
From the My Profile page, scroll down to the Team panel
Find the user whose permissions you want to modify and click the Edit icon ✏️
Revoke user invitation
If the user hasn’t yet accepted the invitation to access your People Analytics account, you can revoke the invite.
From the My Profile page, scroll down to the Team pane
Find user(s) with the Invitation Pending status flag
Click the Edit icon ✏️
Click Remove and Update
