Overview

Are your teams actively engaging with Coach? The new Usage Report gives Account Administrators a simple, central place to answer that question.

This feature is a focused dashboard designed to provide essential data on how your employees are interacting with all active Coach modules (General, Surveys, and Performance). It helps you quickly understand adoption rates and see the overall value your organization is getting from Coach.

What you'll love about the Usage Report:

  • Quick Clarity: See fundamental, aggregate usage data right away.

  • Centralized View: Access usage data for all Coach modules in one place.

  • Easy Access: Reporting is simple to find within your Account Settings.

Accessing and Using Your Coach Usage Report

The Coach Usage Report is exclusively available to Account Administrators.

How to Find the Report

To view this dashboard, follow these simple steps:

  1. Click the Settings toggle in the top right corner of Culture Amp.

  2. In the side navigation menu, click on Coach.

  3. Under the Coach page, there are two tabs; Access and Usage > click the Usage tab to view the report.

Note: The Usage tab will only appear if Coach has been activated for your organization. Additionally, the reporting will only display data for the specific Coach modules (General, Surveys, or Performance) that your account has activated. For example, if you don't use the Performance module, you won't see a usage line item for it.

Understanding the Data

The first thing you will see in the report is the all time hero statistics summarizing Coach activity across your organization. Below the hero stats, the usage table automatically defaults to showing data from the past 30 days, which you can adjust using the Time filter.

Hero Stats

At the top of the page are the hero statistics. These show usage data from all employees who have ever interacted with Coach, whether they are currently active or have been deactivated in your account. The stats include:

  • How many employees have used Coach

  • How many unique conversations active employees have started which helps you understand how often employees collaborated with Coach for insights and advice

  • How many messages have been sent including average messages per conversation which shows how deeply people engaged, such as asking follow up questions

These metrics give you a snapshot of total usage volume and the depth of interaction.

Usage by Module

Below the hero stats, you will see activity separated into the Coach modules your organization has enabled. This table reflects the past 30 days of activity by default, unless you change the timeframe using the Time filter.

  • General Coach usage

  • Coach in Surveys usage

  • Coach in Performance usage

This helps you understand where employees are using Coach most often.

Filtering the Data

Use the Time filter to focus on specific windows of activity. Options include:

  • 7 days

  • 30 days

  • 90 days

  • 6 months

  • 12 months

How Coach Usage Data Updates

  • Real-Time Updates: Your Coach activity is recorded in our system the moment it happens, ensuring the underlying data is always current.

  • Time Frames: The report shows activity for predefined periods only: 7 days, 30 days, 90 days, 6 months, or 12 months. Activity is grouped by complete days running from midnight to midnight (UTC).

  • Today's Data: If the selected period includes today, you’ll only see activity up until midnight of the previous day. Any activity happening today is still being recorded and will appear in the report tomorrow.

  • Time Zone: All activity times use Coordinated Universal Time (UTC) and are not adjusted to your local time.

What Counts as “Usage”

Each module measures usage in a simple, consistent way:

  • A new conversation is counted whenever a person starts a session with Coach and enters at least one message.

    • For example, clicking the Coach icon and sending a message starts a brand-new conversation.

  • Additional messages typed in an already-existing conversation will increase the message count, but they do not create a new unique conversation.

This helps you see both how many conversations are being started and how deeply people are engaging inside those conversations.

Best Practices for Getting the Most Value

The Coach Usage Report is your starting point for understanding engagement. Here are some tips to maximize its value:

  • ✔️ Benchmark Engagement: Use the "all-time" data as a baseline. When you filter by date, compare current usage against previous periods to track adoption trends.

  • ✔️ Inform Your Strategy: If you see lower-than-expected usage in a specific module (e.g., Coach in Surveys), use this data to inform your internal communication or training efforts to boost engagement.

  • ✔️ Start the Conversation: This report is the key to answering the core question: "Are my people actually using Coach?" Share the aggregate data with leadership or stakeholders to demonstrate the value of your investment.

FAQs/Troubleshooting

Question

Answer/Solution

Why can't I see the "Usage" tab?

The Usage tab is only visible to Account Administrators and only appears if Coach has been activated for your overall account. If you are an Admin and still can't see it, please ensure Coach has been enabled in your account setup.

Why is data missing for a specific module, like 'Coach in Performance'?

The report only shows usage data for the modules that are active in your account. If you don't have the Performance module or Engagement (Surveys) as part of your subscription, the corresponding usage data will not appear on the report.

Can I see usage data for individual employees?

The initial version of the report focuses on fundamental, aggregate-level data across the entire account to answer if your people are using Coach overall. It does not currently provide individual user usage metrics.

Why doesn’t the usage data match my local timezone?

The reporting uses our database’s server time (UTC). Data updates in real time, but the date alignment in the report always reflects UTC rather than the user’s local timezone.

Will more granular reporting (like department, demographics, or individual-level data) be added?

The current Usage Report is intentionally focused on high-level, aggregate usage to help you quickly understand whether people are using Coach overall.

At this stage, we don’t have plans to introduce more detailed filtering or individual-level insights. However, we strongly encourage you to share feedback about the reporting you need and why as your input directly informs future improvements.
