Step-by-step guide for connecting your Bob and People Analytics accounts.

Before you start

⚠️ Note: you need access to a Bob account with admin privileges to complete this task.

Create a service type user for taking API actions, without affecting headcount or the people directory.


What is an API service user?

An API service user is a user type in Bob whose sole purpose is to manage APIs in Bob. Multiple service users can be created with unique permissions for each.

A service user stays active regardless of the status of the person who created the service user, unlike user tokens.

📌 Note: Service users are dedicated API users that are used to pull data from Bob and share with People Analytics. The service users are detached from any actual employee and have custom permissions that are defined by the admin. These users cannot "log in" to Bob and are used only by the HiBob public API.


Fetch API key from Bob

  1. Log into your Bob account

  2. Make sure you have Admin privileges

  3. From the left hand menu, select Settings > Integrations

  4. Select Automation

  5. Click the Service Users thumbnail

6. Enter a unique name (peopleanalytics_int) and a display name “People Analytics Integration”

7. Click Save.

8. The new service user’s ID and token are now displayed — do not close the dialog and make sure to keep the token in a safe place, you will not be able to access it again!


Creating a permission group and assigning permissions to People Analytics service user

By default, service users are created with no access permissions.

You therefore need to create a specific permissions group for service users and add the service user to that group to ensure People Analytics has access to the relevant data. To learn more, see Create a custom permissions group. Here is how you can do it:

  1. Create an People Analytics permissions group ⬇️

    1. In Bob, select Settings > Permission groups from the left menu

    2. Click on Create group

    3. Give the Permission Group a name (People Analytics)

  2. Add the service user you created in the previous step to the permission group ⬇️

    1. Click on Select people by condition, then select Edit

    2. Delete the Lifecycle status condition that is shown by default

    3. Click on Add specific employees and select People Analytics service user from the list of service users

    4. Click Apply

  3. Set the needed permissions in the People’s Data tab ⬇️

    • Ensure the Access rights are set to Lifecycle status equals Any

    • Assign the permissions to the People Analytics service user in the People tab

If you have previously created a permissions group for People Analytics service user, you'll need to add the user to this group.

From the left menu, select Settings > Permissions groups > choose the relevant group > Group actions > Edit details > Select people by condition > Edit > Add specific employees > People Analytics service user > Apply.


Understanding User Permissions

The standard set of required permissions is defined below, however, the categories may have been renamed in your Bob system, so the descriptions may not match exactly. Please check your Bob set-up to ensure the correct categories are assigned. Additional categories may be required if you have chosen to sync custom fields from different categories.

If you have any doubts, you can assign the service user View permissions to all categories, except for the Personal section (we don't edit anything, but Bob do require us to have this permission).


Enable Bob HR Integration

  1. In People Analytics, on the top right corner click on your name, then go to My Profile

2. At the bottom of the My Profile page you'll see the Connected Apps section. Choose Bob and click Connect

3. Paste your Bob API key into the first field of the connection form.

4. Click Connect Bob.

Your People Analytics profile is now connected with Bob.

People Analytics will start fetching the data right away. The process will take a while to complete. Its duration varies depending on the number of things you track and their health.

Once it’s done, you will be all set to start exploring your people metrics. 🥳
