Eligibility Flags for Onboard & Exit Surveys

Control who receives onboarding or exit surveys by using an eligibility flag in your automated survey launch plan.

  • All Culture Amp subscriptions that include Engagement (Onboarding and Exit Surveys only).

What is an Eligibility Flag?


An Eligibility Flag gives you control over who receives an onboarding or exit survey when using an automatic launch plan.

It lets you exclude specific groups from the automation—like contractors, rehires, or employees from an acquired company—so they don't have an invitation sent based on your launch plan settings.

By adding an eligibility flag to your survey, the system will only send invitations to those you’ve marked as eligible.

Why Use an Eligibility Flag?


  • Avoid sending surveys to employees who shouldn’t receive them

  • Automate the process without losing control

  • Customize who qualifies for onboarding or exit surveys based on your own criteria

How To Set Up an Eligibility Flag


You'll need to create a new demographic to act as the eligibility flag, then contact support to have it applied to your specific survey.

1. Update Your Employee Data

Choose one of the following options:

  • Manual upload:

    • Go to Settings > Users

    • Click Export Users to download your current employee file

  • HRIS integration:

    • Update the report in your connected HR system (no need to export the user file from Culture Amp)

2. Add an Eligibility Column

  • Add a new column to your exported employee file or HRIS report.
    You can name it something like Onboard Eligible (Onboarding survey) or Exit Eligible (Exit Survey)—whatever makes sense to your team.

  • In this column, enter a value for employees who should receive the survey. Choose one of the accepted values and use it consistently across all eligible employees. Accepted values are:

    • Yes

    • Y

    • On

    • True

  • You don’t need to enter anything in the column for employees who shouldn’t receive the survey—a blank value will automatically exclude them.
    If you prefer, you can also use values like No, N, Off, or False to mark them instead.

  • Avoid mixing different accepted values like Yes, Y, On or True in the same column—this may cause issues with the system correctly identifying who should receive the survey.

Note: Eligibility flag values are not case sensitive, but only allow Yes, Y, On or True. If any other value is assigned to users who should be eligible, the flag will not work as intended.

3. Save and Sync Your Data

  • If you're using a manual upload, re-import the updated file to Culture Amp

  • If you use an HRIS integration, sync your updated report through the integration

4. Contact Support to Activate the Flag

Send a message to our Support team by replying with Ask a Person in a support conversation. Please include:

  • The name of your survey

  • The name of the new column you created as the eligibility flag (e.g. Onboard Eligible)

We’ll configure the survey settings so that it recognizes this demographic and only sends surveys to employees who:

  • Have a valid Start Date (onboarding) or End Date (exit)

  • Have a qualifying value (Yes, Y, On, or True) in the Eligibility Flag column

Tip: If eligible employees aren’t receiving the survey, double-check the following:

  • Their Start Date (for onboarding) or End Date (for exit) is correctly set in their user profile.

  • The Eligibility Flag field has a valid value (e.g. Yes, Y, On or True.).

  • If using an HRIS integration, review your Import History to confirm the eligibility flag and Start/End Dates are included and syncing correctly.


FAQs


Can we apply multiple eligibility flags to a single survey?

No. Only one demographic can be assigned to act as the eligibility flag for the survey, but you have full control over who you mark as eligible.

Can I use an existing demographic for the eligibility flag rather than creating a new one?

Only if the existing demographic uses the required Yes, Y, On or True values.

It is not possible, for example, to assign an existing Department demographic as the eligibility flag and ask the system to only invite people from Marketing.

Is this process available for other survey types too?

No, eligibility flags can only be assigned to Onboard or Exit surveys using an automated launch plan, as these are the only surveys that offer automation currently. See Survey Automation for further information.
