Your Launch Plan determines how exit survey invites and reminders are delivered to employees. The setup varies depending on whether you're using the Survey Only or Survey & Interview workflow—and whether you want to automate the process.
What Is the Launch Plan?
Your launch plan settings determine:
When survey invitations and reminders are sent
How long employees have to complete the survey
Whether the survey process is manual or automated
You’ll choose between two workflows:
Exit Survey Only
Exit Survey + Interview
We’ll walk you through each option.
Survey Only Workflow
This is the most common workflow. An Administrator starts the exit process manually by sending a survey invite to the departing employee. Once the survey is completed, their results appear in your dashboards, and the process ends.
Configure Survey Only Launch Plan Settings
These are the settings you’ll see on the Launch Plan page for the "Survey Only" workflow:

Reminder | Number of days before the due date to send a reminder if the survey hasn't been submitted. |
Send Time | Time of day you want reminder emails to be sent. |
Automate Your Exit Surveys
If you manage many employee departures, manually sending surveys can be time-consuming. Instead, you can automate survey delivery based on employee end dates.
The platform will check your employee data file daily to see who should receive a survey based on whether an end date value has been assigned in their user profile and the invite will then be set according to your launch plan settings. You can still send surveys manually at any time—useful if someone leaves unexpectedly.

Setting Up an Eligibility Flag (Optional but Recommended)
You can refine who receives an Exit survey by setting up an Eligibility Flag. An Eligibility Flag is a specific type of custom demographic that tells the system who is eligible to receive the survey. This is useful in cases where not all departing or new employees should be surveyed (e.g., involuntary exits, rehires, contractors).
Note: Eligibility Flags are only supported for Experience type surveys like Exit (Offboarding) and Onboarding surveys. You can only assign one Eligibility Flag per survey.
What is an Eligibility Flag?
An Eligibility Flag is:
A custom demographic you add to your employee data.
Used by the system alongside the End Date to determine whether a survey should be sent automatically to an exiting employee.
Limited to values like Yes, Y, On, or True (not case-sensitive).
Only valid when configured in the survey settings by our Support Team.
Tip: Updating demographics like Department or Location on an already launched survey is a separate process that refreshes how responses are grouped in your results. While we don’t typically recommend doing this for onboarding or exit surveys, you can learn more in the Update Demographics in an Attributed Survey article.
Eligibility Flags, on the other hand, serve a different purpose—they determine whether an employee should receive the survey at all. This makes them a key part of how the survey is triggered, not just how responses are categorized.
How to Set It Up
Step 1: Update your employee data
You can update your employee file in two ways:
Manual upload:
Go to Settings > Users > Export Users to download your user file.HRIS integration:
If you have an HRIS integration, update your HRIS report directly—no need to export the user file.
Step 2: Add an eligibility column
Add a new column to your file or report (e.g. Exit Eligible).
You can name this column whatever makes sense to your team.In this column, use one of the accepted values for employees who should receive the survey:

(not case-sensitive).
Note: Pick one value (e.g.,
Yes
) and use it consistently—don’t mix different values like “Yes” and “Y” in the same file.
Step 3: Save and sync your data
If you’re using a manual upload, re-import the updated file.
If you're using an HRIS, sync the update via your HRIS integration.
Step 4: Let us know
To activate your Eligibility Flag:
Start a support conversation and reply with "Ask a Person" in a support conversation to speak with a Product Support Specialist
Share the following details:
The name of your survey
The name of the new column you would like to set up as an Eligibility Flag on your survey (e.g. Exit Eligible)
We’ll configure the survey settings on our end so the system recognizes this column and only sends surveys to employees who:
Have a valid End Date
Have a qualifying value (
Yes
,Y
,On
, orTrue
) in the Eligibility Flag column
Note: If an employee’s End Date isn’t entered until their final day, they may be deactivated before the invite is sent. To ensure they get the survey, make sure their End Date is entered (via HRIS sync or manual import) at least one day before they leave.
Survey & Interview Workflow
This workflow adds an Interview step after the survey. It’s useful if someone—like a manager or HR team member—will follow up with the employee.
You’ll assign an Interviewer, who can review the survey responses, take notes, and conduct the interview. This is ideal if follow-up conversations are part of your offboarding process.
Configure Survey + Interview Settings
For the Survey + Interview workflow, you’ll see these additional options on the Launch Plan page:

Important Things to Know
You can always send surveys manually, even if automation is set up.
The platform checks for eligible employees daily using end dates in your employee data file.
Only "Survey Only" workflow surveys can be automated.
Only "Survey Only" workflow surveys can include an Eligibility Flag to further control who gets an exit survey automatically.
Only one Eligibility Flag can be used per Exit survey.
Reminders are only sent if the survey or interview hasn't been completed.
FAQs
What happens if the End Date is entered after the employee leaves?
The survey won’t send. Make sure the End Date is entered at least one day before the last working day.
Can I automate surveys for only some employees?
Yes. Use a demographic like Exit Eligible with values like Yes or True to define who should receive surveys.
Can I use multiple Eligibility Flags?
No — only one Eligibility Flag can be used per survey. If you'd like to trigger surveys based on more than one condition (e.g., Exit Type and Exit Eligible), we recommend combining those conditions into a single custom demographic in your HRIS (e.g., a field called “Send Exit Survey”). Use values like Yes

, or True
to indicate eligibility.
Is the Eligibility Flag the same as updating demographics in a survey?
Not quite! Eligibility Flags are used before a survey is sent to determine who gets it. Updating demographics in a survey refers to changing demographic data after a survey has launched, which is only possible via the snapshot/attributed survey update process and must be handled by our Culture Amp Product Support Team.
Will automation stop me from sending a manual survey?
Nope! You can still trigger a manual survey at any time—even with the invitation method set to Automatic.
Can I automate surveys in the Survey + Interview workflow?
No. Only the "Survey Only" workflow supports automation. If you're using the "Survey + Interview" workflow, you'll need to manually start the survey process for each employee.
