How to share and control access to the board
You can share each board you have created!
Set the metrics you want to follow, filter out demographics and time range of interest if you want, and share it with your team members.
To share a board, click on the Share button next to the board title.
You will see a sharing dialogue opened.
You can share a board in four distinct ways:
Now, let’s explore each of them.
Sharing with individual users
You can share your board with one or multiple people in your organization. If you can’t find a person from the list, you’ll first need to invite them to People Analytics and set their required access (Administrator role required - learn more here).
To find a team member (already using People Analytics), just click the “Find by name” input and search for the desired people by typing their name or email address. Repeat the process to share with multiple users.
Once you add all the people you want to share a board with, click on the blue “Share” button.
Once you see the green confirmation notification at the top, you’ll see their names in the “Shared with” list below.
You can remove access for anyone you've shared the board with at any time by clicking the “X” icon next to their name.
If you want to share a board with a team member who has less demographic access than you, there will be a “Preview” option next to their name. Clicking on this button will give you a preview of the data they will see on the board. Think of this as “double check”, in case you have to share some sensitive data on the board (e.g. Rewards metric, etc).
If you decide to give them access to a specific piece of data, you can do this by changing their general data access (if you have Admin permissions).
Sharing with groups of users
You can share your board with a specific demographic in your organization, these might be the leaders of a certain division or all the employees in a specific location.
To do this, click “Share with”, and select the “Groups of users” option.
Now, use the demographics filter to find the group with whom you wish to share the board. You’ll see the platform users in the list below. To remove users from the list, simply click the “x” icon located on the right.
Note that people who are not yet users of the People Analytics platform won’t be included in the list. You’ll need to invite them beforehand.
Once you are satisfied with your choice, click the blue “Share” button, and the board will be shared.
With people outside your organization
You can share your board with people outside your organization, who are not People Analytics users.
To do this, click “Share with”, and select the “People outisde of your organization” option.
Click the search bar and enter one or more emails. Once you are done, click the blue “Share” button, and the board will be shared.
Note that because you are sharing with people who are not users, they are going to see the anonymous view of the board, with all the demographics and data access you see.
Through an anonymous link
You can share your board with an anonymous link. To do this, click the “Share via link” button.
There are a few more options on the following step:
Ask for Email (recommended) — everyone who clicks the link will be welcomed with the form to enter their email address in order to see the board. This option is selected by default.
No email required — everyone with the link will be able to see the board anonymously.
Link to expire — if you check this, the link will be active for 14 days.
Once you are ready, click the blue “Create link” button.
You’ll see the link at the bottom of the page. To copy the link, click the “Copy link” button. To disable the link, click the red “Disable link” button. Don’t worry, you can create a new link again if needed!
