Notify and Publish Reports to Viewers and Owners

Learn how to notify report viewers and owners in Culture Amp with automated reminders, and manage email notifications outside the platform.

Who can use this feature?

Available on:

  • All Culture Amp subscriptions that include Engagement or Effectiveness (Manager and Team Effectiveness surveys).

In Culture Amp, you can notify individuals about their report access through the platform for both viewers and owners, or by sending a custom email outside of the platform, and help first-time recipients access their reports.

Notifying Report Viewers Through the Platform


After adding viewers to a report, you’ll need to publish the report to notify them.

📌 Important Details and Behaviors

  • Notifications are sent to all viewers of a report when enabled.

  • Selective notifications for subsets of viewers are not currently supported.

  • If a viewer has never signed in before and your organization does not use Single Sign-On (SSO), they can select Can’t sign in? from the sign-in page and follow the prompts to set their password.

  • If your organisation uses SSO, users do not need to set a password. Share your SSO URL with them so they can sign in and access their shared reports.

1. Click Publish and Notify

  • This button sends a notification to all viewers, providing them access to the report.

Publish Without Notifying Report Viewers

If you want to publish the report without sending out notifications, you can use the Publish without notifying option.

To access it:

  1. Navigate to the survey report sharing page

  2. Locate the report

  3. Click the dropdown arrow beside Publish and Notify on a draft report.

  4. Select Publish without notifying

This will publish the report and make it accessible to the assigned viewers and owners without sending them an email notification.

Assigned users can then access their reports directly from the platform after signing in.

If notifications are sent, managers will receive an individual email notification for each report they’re assigned to.

Using the “publish without notifying” option helps avoid sending multiple emails if you prefer to notify them in another way or at a later time.

2. Automated Reminders

Viewers who haven't accessed the report within one week will receive an automated reminder. No further reminders will be sent after this initial notification.

If your report has more than 800 viewers, the viewer count won’t appear in the pop-up after you click Publish and Notify. Instead, it will display as -1, but all viewers will still receive the notification.

Notifying Report Owners Through the Platform


Report owners are responsible for taking action on the report. Typically Report Owners are added at the same time as Viewers. After adding them:

1. Click Publish and Notify

  • A notification will be sent to the report owners, encouraging them to review the results, discuss with their teams, and take action.

2. Reminder for Action

  • If no focus area is selected within two weeks, an automatic reminder will be sent to the report owner.

Adding More Viewers and Resending Notifications


After sending the initial notification, the button will change to Resend to all users.

If you add more owners or viewers later, it will change to Notify new users with an option to resend the report to all or notify new owners/viewers only. This means if you use the 'Notify new users' button, existing report viewers and owners will not receive a duplicate notification.

If notifications are disabled when adding new viewers, they will not receive any email about their access until notifications are manually enabled later.

Tip: If you need to resend a report notification to specific viewers, remove those viewer(s) from the shared report and save. Then, re-add them and save again. You’ll see the Notify new users option appear, click it to send the notification only to the people you just re-added.

If your report has fewer than 800 access grants, the button will display the number of viewers (including report owners). For reports with more than 800, the button won’t show a count but will still notify all new viewers when clicked.

Preview Notifications


Use the Preview Notifications option to see a breakdown of new and existing viewers, along with a preview of the notification email.

This feature helps identify which users are new and provides a sample of the email notification that they will receive.

Notifying Individuals Outside of Culture Amp


If you prefer to notify individuals via your own email system:

  • Encourage them to sign into the platform to view their reports.

  • Include any important themes or instructions related to the report.

  • If this is their first time signing in and your organization does not use SSO, let them know they can select Can’t sign in? from the sign-in page to set their password.

  • Once they’re signed in, they can access their report from the platform’s Reports area.

  • If your organization uses SSO, share your SSO URL instead of password setup instructions.

Why is the "Publish and Notify" button missing or only showing "Publish without notifying"?

Try a hard refresh to clear your browser cache. Windows: Ctrl + F5. Mac (Chrome/Firefox): Cmd + Shift + R. Mac (Safari): Cmd + R.

Why can’t I publish a report with notifications?

Check if the report is marked as Unreportable. Reports that do not meet the minimum confidentiality threshold cannot be published with notifications because the data does not meet minimum reporting group size requirements and will not be displayed to protect participant confidentiality.

Can I customize the text in report sharing notifications for my survey?

No. The notification content is predefined and cannot be customized, although it will include your survey name.

Can report notification emails be sent in a user’s preferred language?

Yes. This is possible if the language is assigned to the user and enabled on the survey.
