Assigning Report Viewers and Owners

Learn how to manually assign Report Viewers & Owners with tips for managing participants & exports.

Who can use this feature?

Available on:

  • All Culture Amp subscriptions that include Engagement or Effectiveness (Manager and Team Effectiveness surveys).

Once your reports are created, you can share them with others to review or take action. You can assign two types of roles:

  • Report Viewers: These individuals can view the report but are not required to take any action.

  • Report Owners: These individuals are responsible for taking action on the report. They will receive notifications and reminders to follow up.

Tip: You can create a report, add viewers, and save it as a draft without giving immediate access. This is helpful if you want to prepare reports in advance and publish them when you’re ready.

How to assign Report Viewers and Owners


You can give access to reports in two ways:

  1. Add viewers directly to individual reports within the platform.

  2. Use the Bulk Import feature to upload a spreadsheet with viewer details. Check out our bulk importing permissions guide for instructions on bulk imports.

Manually adding Report Viewers and Owners


To add viewers to a report:

Navigate to the Sharing page

  • Go to the survey’s Sharing page.

Select the report

  • Click the drop-down arrow next to the report name to expand the list.

Add Viewers

  • Click the person icon to add viewers.

  • Type the users’ names or paste their email addresses.

  • Optional: To add all participants from the report as viewers, click Add Participants.

  • Click Save.

Assign a Report Owner (optional)

The Report Owner role is limited to one person to ensure clear responsibility for action. To assign a Report Owner:

  • Click the ellipsis (...) next to a viewer’s name.

  • Select Make Report Owner.

  • Click Save.

Notes:

  • The Add participants feature has a limit of 1,500 participants per report. For larger groups, consider using the bulk sharing feature.

  • If you see "Unreportable" next to a report, it means the group size is smaller than the survey’s reporting group minimum. In this case, you won’t be able to add viewers or share the data.

Exporting Report Participants


To export the list of participants for a specific report:

  1. Click the More drop-down at the bottom of the report setup.

  2. Select Export participant list to download the CSV file.
