How to Request a De-Identified Raw Data Extract

Who can use this feature?

Available on:

  • All Culture Amp subscriptions that include Engagement or Effectiveness.

A de-identified raw data extract provides survey results without any personally identifiable information, ensuring respondent confidentiality. Follow these steps to request one after your survey closes.

Key inclusions:

  • Survey responses to rating, single-select, and multi-select questions.

  • One demographic field of your choice (e.g., Department, Location), provided the demographic meets the group reporting threshold.

Key exclusions:

  • Identifiable information like email addresses or employee IDs.

  • Comments (including free-text responses), submission timestamps, and incomplete ("unsubmitted") responses.

Who Can Request a De-Identified Data Extract?


Only Survey Data Analysts can request a de-identified raw data extract. If you need this role, another Account administrators can assign it to you.

Note: Account Admins cannot assign the role to themselves, so please check your permissions before proceeding.

Requesting a De-identified Raw Data Extract


Before you request the extract, make sure that your survey is closed. Then follow these steps:

1. Start a support conversation

  • Open a conversation with Culture Amp’s Product Support team.

  • Reply with “Ask a Person” to be connected to a Product Support Specialist.

2. Share key information

  • Share the survey name.

  • Specify the demographic you'd like to include (e.g., Department or Location —any demographic that was enabled in the survey).

Example request

"Hi, I’d like to request a de-identified raw data extract for the [Survey Name]. Please include [Demographic]."

Important Notes


  • One extract per survey: You can only request one de-identified raw data extract per survey.

  • Single demographic: Only one demographic (e.g., Department or Location —any demographic that was enabled in the survey) can be included in the extract.

  • Confidentiality: For confidentiality reasons, personally identifiable data such as Email, Employee ID, and comments (this includes all question level comments including responses to free text questions) are not included.

  • Timestamps and unsubmitted responses: Submission timestamps and incomplete responses are not included in the extract.

What Happens Next?


After submitting your request, the de-identified raw data extract will be processed and shared with you. Here's what to expect:

  • Format: The extract will be delivered as a password-protected Excel file in a .ZIP format.

  • Turnaround time: It will be available within a week of your request.

FAQs


Can I request multiple de-identified data extracts for the same survey?

No, only one de-identified raw data extract per survey is available, and it will include only one demographic of your choice.

Are participants in small demographic groups excluded from the de-identified RDE?

No, all participants are included in the de-identified RDE. If a particular value in your selected demographic column (such as a specific Department) doesn’t meet the reporting group minimum, it will be labeled as 'All Others.' This ensures every response is counted without risking the anonymity of people in small teams.
