Edit, publish, and manage an action plan

Add action items, set who the plan is for, publish it, and track progress.

🔐 Who can use this feature?

A draft action plan is a starting point. Use this article when you are ready to turn your draft into a plan that other people can see and work on: add action items with owners, choose who the plan is about and who can see it, then publish it.

It also covers how to track progress, comment on a plan, and delete a plan once it is under way.

Finalise and publish your plan

Step 1: Open the plan to edit

  1. In the navigation, select Action plans to open the list of action plans.

  2. Find your draft. Drafts show a Draft tag.

  3. Select Edit.

You can also select Edit action plan on the confirmation panel after you create a draft.

Step 2: Fill in the plan details

  1. Update the Plan title and the Plan description (optional).

  2. Under Owner, keep or change the owner. A plan must have a single owner.

  3. Set the Due date.

The Sources line shows the survey and focus area the plan came from. It is read only.

Step 3: Choose the target group

The target group describes who the plan is about.

  1. Under Target group, choose one option.

    • Everyone in the organisation: The plan applies to the whole organization. Only Actions administrators can choose this.

    • A specific group: The plan applies to people who match the demographics you choose.

  2. For A specific group, choose a Demographic and one or more values.

  3. Select Add demographic to narrow the group further. The demographics are combined with AND, so people must match every row.

If the target group is Everyone in the organisation, only Actions administrators can change it.

⚠️ The Demographic list shows all of your account's demographics, not only the ones in your report. Demographics flagged as sensitive are not shown.

Step 4: Add action items

  1. Select Add action item.

  2. Enter the action item name. An item without a name blocks saving.

  3. Select Add owner to assign one or more owners to the item.

  4. Repeat for each action item. Select the delete icon next to an action item to remove it.

Action items are optional. A plan with action items shows progress based on how many are checked off.

Step 5: Set visibility

  1. Under Visibility, choose who can see the plan.

    • Everyone: Everyone in your organization.

    • Group members: People in the plan's target group.

    • Specific people: Only the people you choose. Select Choose people and then Add person for each one.

    • Private: Owners only, plus the people who can always see it.

  2. Select the information icon next to Visibility to open Privacy information.

The Visibility options for an action plan

Your direct manager, administrators, the other owners, and the owners' direct managers can always see a plan, even when it is Private. For the full rules, see Control who can see and manage action plans.

Step 6: Save or publish

  • Save draft: Keeps your changes without publishing. A draft can be saved with missing details.

  • Publish: Makes the plan visible according to its visibility setting. A plan needs a title, an owner, a due date, and a target group before you can publish it.

  • Save: On a published plan, saves your changes.

Actions does not notify the owner when you add them to a plan or action item, so tell them in person or in your usual channel.

Managing an Exisiting Plan

Track progress on a published plan

  • Check off action items: Open the plan and select the checkbox next to an action item. Plan owners, the owner of that item, and administrators can do this.

  • Progress: The plan shows a percentage based on completed action items. It is Not started until the first item is done, In progress after that, and Completed when all items are done.

  • Plans without action items: Select Mark as complete or Mark as incomplete on the plan.

Add and delete comments

  1. Open a published plan.

  2. Under Comments, write your comment and select Add comment.

  3. To remove a comment, open More actions on it and select Delete. Only the author or an administrator can delete a comment.

Anyone who can see the plan can comment. Comments cannot be edited, and replies are not available.

Delete an action plan

  1. Open the plan, or find it in the Action plans list.

  2. Open More actions and select Delete.

  3. Confirm in the Delete action plan window.

⚠️ Warning: Deleting a plan deletes it and its action items for everyone who can see it. You cannot recover a deleted action plan.

Troubleshooting

  • "We couldn't publish this plan": Check that the plan has a title, an owner, a due date, and a target group, then try again.

  • "Choose a demographic or Choose a demographic value": A target group row is incomplete. Choose a demographic and at least one value, or remove the row.

  • "This demographic has been removed and no longer exists": The demographic was deleted from your account after the plan was created. Choose a new demographic for the target group.

  • "Everyone in the organisation is not available, or it fails to save": Only Actions administrators can set a plan to Everyone in the organisation. See Control who can see and manage action plans.
