View, filter, and export action plans

Find action plans, filter by survey or status, and export them to Excel.

Written by Jared Ellis

🔐 Who can use this feature?

The Action plans list shows the plans you own and, depending on your permissions, the plans across your organization. Use it to check what is in progress, find plans for a survey, team, or demographic, and report on progress to leaders by exporting the list to Excel.

This article explains how to find, filter, and export action plans.

Open the Action plans list

  1. In the navigation (this may be in two places depending on your specific package)

    1. Goals Module: select Goals > Action plans.

    2. No Goals Module: select Action plans

  2. Or, from a survey report, select Take action and then View all action plans to see the plans for that survey.

Switch between your plans and all plans

Use View by to choose what the list shows.

  • My action plans: Plans that you own. This is the default.

  • All action plans: Every plan you are allowed to see. What you see depends on each plan's visibility setting and your role.

The Action plans list with filters and four plans

Filter and sort the list

  • Sort by: Most recent update (default), Least recent update, Due soonest, or Due latest.

  • Due date: A date range.

  • Status: Draft, Not started, In progress, or Completed.

  • Survey: Plans linked to a survey.

  • Focus area: Plans linked to a focus area.

  • Demographics: One filter for each demographic in your account, with one or more values.

Select Add filters to choose which filters show, and Clear all to reset them. Your filters and sorting are saved for your next visit. Opening View all action plans from a survey report clears them and filters by that survey.

The list shows 25 plans at a time. Select Load more to see more.

Read a plan in the list

Each row shows the plan name, survey, target group, last update, due date, and owners.

  • Draft tag: The plan is not published yet. Select Edit to continue it.

  • Progress: Published plans show a percentage and Not started, In progress, or Completed. Select View to open the plan.

  • Target group:Everyone, or the demographic and values the plan is about.

  • Expand the row: Shows the plan's Actions and their checkboxes, or No actions.

Export action plans to Excel

  1. Set the View by, filters, and sorting you want.

  2. Select Export action plans.

  3. Wait for the Export complete notification. The Excel file downloads from your browser.

The export includes only the plans currently shown in the list, and only the plans you have permission to see. If the export fails, you see Export not complete. Try again.

What the export contains

  • Charts sheet: A pie chart of plans by status (Draft, Not started, In progress, Completed) and a pie chart of overdue and not overdue plans.

  • Plan columns: Plan name, Description, Plan ID, Status, Target group, one Demographic group column for each group, Owners, Survey, Focus area, Date created, Date published, Due date, Updated date, and Overall progress (%).

  • Action item columns: Action item name, Action item owners, and Action item completion status.

  • Rows: One row for each action item, with the plan columns repeated. A plan with no action items has one row.

  • Overdue plans: Due dates are highlighted for published plans that are not completed and past their due date.

ℹ️ Note: Dates are shown in your time zone, and long descriptions are shortened in the export.

Troubleshooting

  • You haven't created any action plans yet: My action plans only lists plans you own. Switch View by to All action plans to see plans owned by others.

  • No results found: Your filters exclude every plan. Remove or adjust a filter.

  • I cannot find a plan someone told me about: The plan's visibility may not include you. Ask the plan owner to check its Visibility setting, as described in Control who can see and manage action plans.
