The launch plan for your Onboard Survey will determine how and when Onboard Survey invites and reminders will be issued to your employees. The configuration options for your launch plan will depend on the workflow that you are using and if you would like to configure automation or not.


Survey Only Workflow (Basic)

The Survey Only workflow is the most common configuration used by customers. Using this approach, an administrator initiates an onboard/exit process which will send a survey email invite to the employee. Once the employee submits their survey response, their answers are immediately available in the results dashboards and the process is completed.

The Launch Plan page will contain the following configuration items:

Survey Due

This value will be used to set a default Survey Due date when starting an onboard process from Activity Report. This date can be altered by the administrator issuing the survey.

Survey Reminder

How many days prior to the survey due date, should a reminder be sent to the employee if they are yet to submit their survey?

Send Time

What time of day would you like reminder invites and reminders to be sent for this survey?

How to Automate Invitations

Onboard and Exit surveys are most commonly sent one at a time, as a person enters or leaves an organization, see starting an onboard/exit process. If you have high volumes of new hires or exits and sending surveys one at a time is too time consuming, you may wish to configure automated surveys.

On a daily basis, the platform will use these dates to determine any employees that should receive a survey. Because of this, you will need to regularly update your Employee Data file to reflect any new hires or exits. Don't worry - you can still trigger surveys manually even though automation is configured. This can be handy when you have been given very short notice of someone starting/leaving, and you need to send a survey quickly.

Note: The Baseline value you set will determine how far back the platform should look for eligible participants.

For example, if you only want people who started from today onwards, if today is August 4th and you want to send the survey invitation to participants on August 10th, the baseline should be set to 7 and the invitation should be set to 6. This will tell the platform to invite participants 6 days from now, but will not invite anyone who started on August 3rd or earlier.

How far back do you want to look for employees to send invitations to? For example, if the baseline was set to the 60 days, the daily trigger would not consider any employees that started more than 60 days ago.

Invitation

How many days after an employee's start date, should they be invited to take the survey?

The count of days starts from after their Start Date. e.g. a person starts work on Monday, if Survey Invitation is set to 2 days, the survey will be sent on Wednesday.

Survey Due

How many days after the survey invite has been issued is the survey due to be submitted?

Reminder

How many days prior to the survey due date, should a reminder be sent to the employee if they are yet to submit their survey?

Send Time

What time of day would you like invites & reminders to be sent for this survey?

You can also ask the Support Team to specify a particular demographic to check before issuing an onboard survey automatically. For example an 'Onboard Eligible' demographic can be used to define which people should, and should not receive a survey (e.g. people from acquisitions may not be appropriate to send a survey to). The possible values must be 'Yes, Y, On and True' (non case sensitive) for the system to recognize that a survey can be sent to the employee.


Survey & Interview Workflow (Full)

The Survey & Interview Workflow is used where you want the option for someone to follow up with the employee for an onboard/exit interview once they have completed their survey, and have this captured in Culture Amp. This provides the opportunity for a more detailed exploration of the employees responses and therefore the possibility of direct intervention or action based on the employees response. Some people use the basic setup and do occasional interviews but the Survey & Interview Workflow is used when this is a standard approach. The Survey & Interview Workflow introduces the concept of an 'Interviewer'. The Interviewer is an individual who is responsible for managing and potentially reviewing responses from the onboard/exit process. This is typically the employees manager or someone from HR. Interviewers and Administrators can review the employee's individual responses prior to the interview to capture any notes and prepare.
